Quick start: set up a gallery

Create the event, download the QR code, and share a link. Guests join in the phone they already have.

Key takeaways

  • A free gallery includes 10 photos. Paid event plans start at $29 and include 3 months of hosting.
  • Guests do not install a separate app. They open a QR code or a link.
  • The gallery opens in the phone browser on iPhone and Android.
  • Every paid event plan includes original quality, guest uploads, a QR code, a photo booth, and albums.
  • Face search, POV, photobook, custom domain, and invitations start on Premium.
  • Hosting is 3 months on every paid plan. Extensions add 3 more months, once: $9, $19, or $59 by plan.

What you set up

A PicBee gallery is one event. You name it, set the date, and PicBee gives you a link and a QR code. Guests use either one to open the gallery and add photos.

You do this from your PicBee account. Guests do not need an account of their own to upload, unless you turn that control on later.

The four steps

  1. Create your account. Sign up, then open the dashboard.
  2. Create an event. Add the name and the date. That is enough to get a gallery.
  3. Download the QR code. Print it for tables, the entrance, and the welcome sign.
  4. Share the link. Send it in the invitation, the group chat, or the day-before message.

Test it yourself first

Open the QR code on your own phone before guests arrive. Upload one photo so you know the gallery is live.

What guests see

A guest points the phone camera at the QR code, or taps the link, and the gallery opens in the browser.

From there they can view photos and, if you allow it, upload from the camera roll or take a new one. Download controls are yours: paid plans include them.

Free gallery vs paid event plans

Use the free gallery to try the flow. Move to a paid plan when the guest count or the photo count will pass 10 photos.

PlanPricePhotosHosting
Free$010 photosAccount limit
Essential$291,000 photos3 months
Premium$395,000 photos3 months
Ultimate$79Fair usage3 months

Ultimate photo volume follows the Fair Usage Policy. Face search is included from Premium. See event pricing for the full list.

What to print

  • One large QR at the entrance.
  • A smaller QR on each table or place card.
  • The same link in the digital invitation, so people who miss the print still have it.

The next guide, get more guest uploads, covers where those codes work best during the event.

After the event

Photos stay in the gallery for the hosting window on your plan: 3 months on every paid event plan. If you need longer, buy one extension: Essential $9, Premium $19, Ultimate $59. Each extension adds 3 months, once.

Albums let you group photos after the night. Downloads follow the controls you set.
